Olympic Hopes Tournament-Protocol 2011

P R O T O C O L
of the 17th Olympic Hopes International Steering Committee Meeting
Cieszyn, 23 November 2010
With respect to the long tradition of mutual cooperation and contacts in sport which were especially enhanced after the Visegrád Conference and with the intention to continue and develop these traditions, the entrusted delegations of the sport organisations and the state administrations of the Czech Republic, Hungary, Poland and Slovak Republic have decided to approve the following executive programme of the original protocol:

1. The Olympic Hopes Competitions of the Visegrád group will be organized in 31 competitions in official sports and in 12 competitions in speciment sports in the year 2011.

2. In the year 2011, the events organisation will be undertaken by the following countries in the following disciplines:

The venues and the dates of the events are to be confirmed by the competent sport federations.

3. Czech Republic is the next Olympic Hopes Competitions coordinator in the year 2011.

All Visegrad countries will apoint a contact person and inform the 2011 coordinator about address, phone, fax number and e-mail address before 15 January 2011.

All Visegrad countries will inform the coordinator about dates and venues of the competitions before 31 January 2011.
4. It is recommended not to use the title Olympic Hopes Competitions for other competitions organised for children and youth.
5. The competitions are open to other invited countries out of the Visegrad frame.

6. Every sport federation is obliged to organize appropriate competition under following conditions:
- every foreign participant will cover its subsistence expenses, transportation to the place of competition and insurance;
- every organiser of the competitions will provide accommodation and board not exceeding the value of 40 Euro per person and a day; (in special circumstances the charge could be higher, up to 45 Euro, under agreement, of all participants):
- the organisation costs will be covered by the hosting sport federation.

7. In the regulations the hosts should declare clearly the number of the team members invited from the V4 countries, indicating the number of the competitors, trainers, referees and accompanists. The final conditions of hosting of these team members and those who are above these members should also be fixed in the regulations.

8. The organising sport federation is obliged to confirm the date and programme of the competition including the age of competitors and other details and give all that information to every participating sport federation.

9. The above mentioned information should be sent to the participating federations no later than 2 months before the beginning of the competition. The name, e-mail address, phone and fax numbers of the contact and responsible person will be provided, too.

10. The organisers are invited to realize seminars for coaches and other specialists during the competition.

11. Withdrawal of confirmed teams from events is possible up to two weeks before the competition.

12. The coordinator should be informed as soon as possible about competition date and venue changes.

13. The next meeting of the International Steering Committee will be held in Czech Republic in November 2011. The date and venue are to be confirmed.
14. The report from the organisers including results, shall be sent after the competitions in 2011 to the coordinator at Ministry of Education, Youth and Sport of the Czech Republic no later than one month before the meeting of the International Steering Committee in Czech Republic.
